Challenge
An international drilling and technology company required help developing a change management strategy. This involved the reimplementation of several Workday® modules—Payroll, Time Tracking, HCM, Talent and Performance—all at the same time.
It was necessary for a communications plan to be developed, along with coordinating who needed to do what and when, and what items needed to be addressed based on an agreed-upon timeline. The company requested a heavy focus on training for hourly, salary, and rig employees in a variety of areas, including teaching them how to use the payroll system and the new Talent and Performance module. A special emphasis was placed on navigating HCM items, which are used for onboarding new hires—filling out documentation, what to do with the documentation once it is filled out, and properly routing the documentation. It also includes the termination process.
Solution
The IJA team began by developing a communication plan that included management, staff, and stakeholders, providing weekly updates that highlighted the status of the project and what needed to happen next.
The majority of the team’s time was spent on the actual creation of training elements for all levels of employees. This included training modules, training videos, job aids, quick reference guides, and more—all created from scratch and tailored to the company’s exact needs. In total, more than 300 training aids were created, and all assets were developed in both English and Spanish language versions. As a result, the company now has an entire library of training aids for both managers and employees to access on their own and make edits as needed.
With IJA’s help, the company was able to facilitate a smooth and positive change, which has led to more satisfied employees, better documentation, and greater efficiencies.
